We prioritise privacy, security, and guardian oversight to ensure a safe environment for players under 18 years of age.

We collect only the information needed to provide, improve, and secure the Sailah experience.

2.1 Account Information

When you register or are invited to Sailah, we collect:

• Full name (auto-created from user input)
• Email address or login credentials (Apple, Google, or email/password)
• Age or date of birth (to determine guardian requirements)
• Role or affiliation (e.g., player, guardian, coach, team admin)

2.2 Guardian & Participant Links

For users under 18 (or as required by an organisation), we collect and store:

• Guardian-child relationships (link identifiers)
• Invite codes or verification links
• Associated role permissions and mirrored chat access

2.3 Usage Data

When using Sailah, we automatically collect:

• Chat messages, uploaded files, and reactions
• Reports, alerts, and moderation actions
• Device identifiers, app version, and platform (iOS, Android, Web)
• Log data (IP address, device type, timestamps)

2.4 Optional Data

If you choose to upload media (photos, documents, etc.), these files are securely stored.

3. How We Use Your Information

We use collected data to:

• Create and manage accounts and profiles
• Facilitate secure chat, alerts, and team communication
• Ensure guardian visibility and compliance for U18 users
• Detect and address safety concerns, abuse, or policy violations
• Improve app performance and develop new features

We do not sell, rent, or trade your personal information.

4. Data Sharing and Disclosure

• With your consent – when you connect with other users or link a guardian.
• With your organisation – if your account is part of a hub, team, or league, limited information (name, role, activity) is visible to authorised admins.
• For safety or legal reasons – if required by law, or to protect the rights, property, or safety of users and the community.

All data is encrypted in transit (HTTPS/TLS) and at rest.

5. Data Retention and Deletion

You may request to delete your account at any time through the app’s account settings.

When an account is deleted, Sailah will deactivate the profile and begin the removal process for associated personal data such as messages, media, and links.

However, certain data may be retained for a limited period to comply with legal, safety, or organisational obligations, including:

• Records required for child-safety or integrity investigations.
• Information necessary to maintain accurate audit logs for organisations or governing bodies.
• Data retained to enforce platform restrictions where a user has breached terms or policies.

In these cases, data is stored securely, access is restricted to authorised personnel only, and it is permanently deleted once no longer required for compliance or safety purposes.

• Aggregated or anonymised information may also be retained for statistical, reporting, or operational analysis.

6. Data Security

Sailah implements strict technical and organisational measures to protect your data.

However, no system is completely secure. By using Sailah, you acknowledge and accept the inherent risks of online communication.

7. Children and Guardian Oversight

• Users under 18 must have a linked guardian account before participating in team communication.
• All U18 chats are mirrored to the guardian account for safety and compliance.
• Guardians have visibility over linked child accounts and communication.
• Sailah complies with the Australian Child Safety Standards and COPPA-inspired best practices.

8. International Data Transfer

All user data is stored primarily in Australia.

If data is processed outside Australia (for redundancy or analytics), it remains protected under equivalent data protection agreements.

You have the right to:

• Access, update, or correct your personal information
• Withdraw consent at any time (by unlinking)
